This notice explains the current website-level position for Football Studies and Warwickshire Community FC. More specific notices may apply when you use a player, coach, volunteer or other operational form.

INFORMATION WE MAY RECEIVE

What reaches us through the site

The site does not currently provide public user accounts. It does provide native Player Enquiry and Coach Interest forms. Information may also be processed when you browse the site or send an email. Most enquiry information comes directly from you; technical information is supplied by our website, hosting, domain and security services.

  • Basic technical and security information associated with a website visit, such as IP address, device, browser and request information, handled through our hosting and domain providers.
  • The name, email address and content you choose to send to a Football Studies mailbox.
  • Information submitted through the website’s Player Enquiry and Coach Interest forms. This may include parent or carer contact details and limited information needed to place a child in the correct age group, or an adult’s availability, coaching experience and transport position. Form responses are stored within WordPress.com/Jetpack Forms and a notification is sent to info@footballstudies.uk.
  • Operational club information supplied after an enquiry. Separate privacy information and access controls should apply to registration, safeguarding, medical or other protected information.

Browsing the site and making a general enquiry are optional. If you later ask to join a club or receive a service, the minimum information identified in the relevant form may be necessary to assess or administer that request. The form-specific notice explains what happens if required information is not provided.

If an enquiry is moved into a player, coach, volunteer or other operational workflow, the source, purpose and retention rules in the notice for that workflow apply.

WHY WE USE INFORMATION

Purposes and lawful bases

We use personal information only where a lawful basis applies. For general enquiries, our usual basis is our legitimate interest in responding and routing the enquiry; where the enquiry asks us to take steps before providing a service, the basis may instead be steps requested before entering a contract. Legal, privacy and regulatory administration may rely on legal obligation, while website and information security may rely on legal obligation and our legitimate interests in protecting people, systems and records.

Club participation and operational administration may rely on contract, legitimate interests or legal obligation according to the particular activity and the form-specific notice. Safeguarding, emergency, health and other special-category information requires both an Article 6 basis and a separate Article 9 condition appropriate to the activity. A website enquiry does not authorise unrelated marketing or a new use of the information; consent is used only where it is the appropriate basis.

SERVICE PROVIDERS AND TRANSFERS

Who may process information

Relevant providers may include WordPress.com and Automattic for website hosting, operation and Jetpack Forms, Cloudflare for domain and related network services, and Titan for email. Some providers may process information outside the United Kingdom. Where that occurs, we use the applicable contractual terms and transfer safeguards offered for the service and review account-specific arrangements before launch.

We may also share information where required by law, safeguarding duties, insurers, governing bodies or competent authorities, but only where there is an appropriate basis and the disclosure is necessary.

RETENTION AND SECURITY

Keep only what is needed

General website and email enquiries are normally retained for up to 12 months after the last substantive contact. This period does not apply where an enquiry becomes an operational record or is subject to a legal, safeguarding or complaint hold; in those cases, the approved retention rule for that record applies. Website-form and operational records follow the notice given at the point of collection and the relevant approved schedule. Technical and security logs follow the necessary provider schedule and periodic review.

Access is limited to authorised people and protected through proportionate technical and organisational controls.

Automated decision-making

This website does not make solely automated decisions that produce legal or similarly significant effects, and website enquiries are not used for profiling.

YOUR RIGHTS

Questions, corrections and requests

Depending on the circumstances and lawful basis, you may have rights to be informed, access your information, correct it, request erasure or restriction, object to processing and receive portable data. Where processing relies on consent, you may withdraw that consent. Some rights are subject to legal exceptions.

CHILDREN’S INFORMATION

Extra care is required

Warwickshire Community FC serves children. Child, parent, medical, learning and safeguarding information must not be collected through general website comments or ordinary public pages. Use only the club’s approved forms and secure operational routes, and read the notice presented at the point of collection.
